Legal Secretary (Contract)

We're looking for an experienced secretary to provide maternity cover for approximately six months, providing an efficient, timely and high quality secretarial and administrative service to the fee earners across the financial services legal team.

Main Responsibilities
  • Producing and amending documentation
  • Scanning, photocopying and filing
  • Sending, retrieving and filing e-mails
  • Printing and collating large documents
  • Conducting company searches and producing reports on the results
  • Opening and setting up of new files and matters including conducting conflict searches and assisting with the client due diligence ("CDD") requirements for prospective clients
  • Maintenance of files and Bibles where appropriate
  • Dispatching documents by courier and ensuring the relevant paperwork is completed and passed to the Finance team
  • Dealing with clients by telephone and email and taking accurate messages
  • Updating Contact Manager and Business Development databases
  • Providing support to other members of the support team when necessary e.g. during busy periods, sickness or holidays
  • Assisting with the billing process
  • Adhering to all policies, procedures and regulations as required
  • Carrying out any function or activity reasonably required by the fee earners from time to time

As part of the support team you will also be required to help with the following general office duties:

  • Opening and distributing mail
  • Assisting with travel arrangements
  • Various reception duties
  • Light messenger duties
  • Maintaining stationary supplies
Qualifications and Experience
  • Good secondary education
  • A typing/administration/secretarial qualification would be advantageous
Competencies
  • Experience of working in an office environment and using office equipment
  • Strong IT skills (Word, Excel, PowerPoint)
  • Good typing skills
  • Good organisational skills with the ability to prioritise workload
  • Enthusiasm and flexibility
  • Self-motivated and proactive
  • Accuracy and with an eye for detail
  • Working as part of a team
  • Strong communication skills
